Privacy Policy

Who we are

Williams Performance provides online training programs from Queensland, Australia. This policy explains how we handle your personal information, including health information, in line with the Privacy Act 1988 and the Australian Privacy Principles. Contact us at support@williamsperformance.com.au.

What we collect

• Contact details: your name and email address.
• Intake and check-in answers: age, sex, bodyweight, goals, experience, schedule, equipment, preferences, sleep, stress, energy and motivation, and how your training is going.
• Health information: injuries, pain, medical conditions, and whether you've been cleared to train. This is sensitive information.
• Your training records: the weights, reps, times, distances and pace you log, which sessions you tick off, exercises you swap, and exercises you ask us to add.
• Reviews: if you leave one, what you write and the first name you choose to show.
• Payment information: payments are handled by Stripe. We never see or store your card details. We keep your plan, payment status and Stripe customer record.
• Technical information: basic server logs kept by our hosting provider.

We collect this directly from you. If you ask a physio or other health professional to send us restrictions for your program, we also collect that from them, with your consent.

Why we collect and use it

• To build your program, deliver it, and build each new block from how the last one went.
• For a trainer to review your program on the Coach-Approved and Coached plans.
• To run your subscription, take payment, and contact you about your program and account.
• To keep our service safe, answer your questions, and meet our legal obligations.

We do not sell your information, and we only send you marketing emails if you have asked to hear from us.

Health information and your consent

We collect health information only with your consent, which you give when you submit the intake and check-ins, and only to build a safe program. You can withdraw your consent by emailing us, but we may then be unable to provide the service.

AI and your information

Your intake answers, check-in answers and training records are sent to an AI service (Anthropic) so it can help draft your program. On Coach-Approved and Coached plans, a trainer reads the result before it is sent. On the Self-Guided plan, it is generated and sent automatically without a personal check.

Who we share it with, including overseas

We share information only with the services we use to run Williams Performance. Some are located, or store data, outside Australia, including in the United States.

• Anthropic: the AI service that helps draft programs (your intake, check-in and training information).
• Netlify: hosting, and storage of your records.
• Stripe: payments.
• Resend: sending our emails to you (your name and email address).
• Your health professional, only if you ask us to communicate with them.

We take reasonable steps to make sure these providers handle your information in line with Australian privacy law. Information held overseas may be accessible to authorities there under local laws.

Cookies and your device

Your program page saves what you log on your own device, so it works without signal at the gym. We don't run advertising or analytics trackers on our website.

Security

We take reasonable steps to protect your information. Your program link is a long private web address, our records are stored with our hosting provider, and our admin area is protected by a password and two-step verification. No system is perfectly secure, so please keep your link private.

How long we keep it

We keep your records while you are a client and for up to 2 years after your subscription ends or your one-off program finishes, and then delete or de-identify them. Payment and tax records are kept for 7 years, as the law requires. You can ask us to delete your information sooner, subject to those legal record-keeping requirements.

Your rights

You can ask to see, correct or delete your information at any time by emailing support@williamsperformance.com.au. We may ask you to confirm who you are, and we will respond within 30 days.

Data breaches

If a data breach is likely to cause you serious harm, we will tell you and the Office of the Australian Information Commissioner, as the law requires.

Children

Our programs are for people aged 18 and over. We don't knowingly collect information from anyone under 18, and if we find we have, we delete it.

Complaints

If you have a privacy concern, email support@williamsperformance.com.au. We will reply within 5 business days and aim to resolve it within 30 days. If you're not satisfied, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.

Changes to this policy

We may update this policy from time to time. The version on this page is the one that applies, and the date at the top shows when it last changed.
